Remote research

Premise

The service for consulting the documents preserved in State Archives is normally provided in the reading room, where users can do a search after having been enrolled, by inspecting inventories and by asking for the files they are interested in. The archivist provides a reference service and scientific assistance to the public and to institutions for any archival search, without subsituting users in doing them but supporting and addressing them in the use of inventories and of finding aids, together with the consultation of the documents.

A remote search service is provided, however, in addition to the reading room service, in order to encourage the fruition of the documentation also by people who cannot attend the seat of the archives directly. In this case users, with regard to the field of their search, can send requests to receive archival reference on fonds and to ask for copies of the documents, which makes the remote fruition of the documentation possible for them.

It must be specified that the remote search service does not communicate the information written on the documents, but gives the digital reproduction of the document on which the information is reported.

Hereafter all the ways in which the service is provided.

 

A. Request for archival consultation

Users can ask for more precise information on archival fonds and on inventories, considering what has already been published on the official website or in the informative system SIAS/SIUSA.

Attention. At present only a part of the SIAS papers, concerning the fonds of the State Archives of Alessandria, is available online because of the reengineering of the website.

 

B. Request for informatic reproduction of the documents

Using one of the following forms it is possible to ask remotely for the informatic reproduction of a document.

The form has to be printed, filled in, signed, scanned and sent, with a copy of the identity card, to the e-mail address:

Only the requests sent by following this modality and by attaching the forms filled in according to the instructions given on this page will be taken in charge.

Every year users can send from one to three requests (forms).

Please note: archival fonds are not complete, therefore the requested document could not be found; nevertheless the positive or negative result of the examination of the documentation will be communicated.

 

The positive result of the examination implies the payment of the informatic copy according to the instructions which will be given; after the payment the copy will be sent.

No payment will cause the interruption of the service for the requesting user.

ONLY ONE YEAR BETWEEN 1804 AND 1814 CAN BE REQUESTED.

For other Municipalities in the province of Alessandria please ask municipal, diocesan and parish archives.

A preliminary recognition will be carried on the lists of the ones born male as a preparation for the “liste di leva” (recruitment lists).

ONLY BIRTH ACTS FOR MALE NAMES CAN BE REQUESTED REMOTELY.

For women and for marriage and death acts only searches in the reading room are possible.

3. REQUEST FORM FOR “LISTE DI LEVA” (recruitment lists)

BETWEEN 1792 AND 1945 ONLY ONE YEAR CAN BE REQUESTED.

Please note: the archival fonds are not complete; several files, which at the moment cannot be consulted because they are in a very bad conservative condition, are waiting to be restored.

 

4. REQUEST FORM FOR “RUOLO MATRICOLARE” (first identification document about the soldier with essential information such as birth place and date, parents, previous job, first roll number and possible change of roll number or district)?

PLEASE NOTE. “Fogli caratteristici” (personal files connected with the “ruolo matricolare” but with more details about the military life of the soldier) cannot be requested remotely.

“Ruoli matricolari” of the years after 1950 are preserved in the Documentary Office of Turin (cme_piemonte@esercito.difesa.it); the ones going from 1975 on are preserved in the Documentary Office of Genova (cme_liguria@esercito.difesa.it).

 

5. REQUEST FORM FOR THE COPY OF A DOCUMENT

PLEASE REPORT PRECISE INFORMATION FOR FINDING THE DOCUMENT (ARCHIVAL SIGNATURE OR OTHER ELEMENTS WHICH CAN ALLOW AN EXACT IDENTIFICATION)

For the documentation of the Revenue Agency of Acqui and Ovada drawn up after 1980 users have to ask firstly the territiorial Offices of the same Agency (Acqui and Ovada), since it means having access to administrative documents, and secondly they have to ask the State Archives of Alessandria by using the e-mail address as-al.salastudio@cultura.gov.it

Notary acts drawn up after the twenthies of the twentieth century are not preserved in the State Archives; they can be consulted in the Notary District Archive (Alessandria, via Ghilini 42).

1. Do the State Archives of Alessandria issue multilingual certificates for requesting the Italian citizenship?

NO. State Archives preserve historical documentation of the national administration offices (also of the pre-unification States, which means the ones existing before the Unification of Italy) working in the territory of the province.

State Archives do not play any role as Italian Civil Registry, they do not issue birth, marriage, death certificates based on multilingual forms for requesting the Italian citizenship and they do not have any electronic registry databases of the population which could allow an automated search on people names.

The Italian Civil Registry was founded in 1866 and Italian Municipalities, which have it in charge, have to be contacted in order to get multilingual forms which are useful for any citizenship request.

2. What can I do if I do not know the birth place of my ancestor?

It can happen that an ancestor, who was migrated abroad, did not precisely report the birth place on the naval transport registers or to the authorities of the foreign nation. For example it is possible that the birth place had been declared to be generically in Italy or in Piedmont; sometimes the definition “Alessandria” does not mean the Municipality but the territory of the province. The problem of identifying the place becomes harder because of the extent of the province, which consists of little less than 190 municipalities.

What is to be done in order to find out the exact birth place?

A first useful tool is the website Cognomix, which is an interactive map representing the surnames widespread at present. Since actually the population is not all included and since it is not a scientific tool, this website represents an approximate search means, but however it can give a starting idea and has revealed to be useful to different users in order to trace the origins of their own ancestors.

You can begin to contact the Municipalities, the parishes and the Dioceses then where the surname is widespread at present, according to the periods given in FAQs 7-11 on the page “genealogical research – useful information”.

If father and mother are well known, we give you the advice to cross the information about the diffusion of the surnames of both parents in order to increase the chance of getting some results in your search.

Another solution is the search on “liste di leva” and on “ruoli militari” preserved in the State Archives of Alessandria. This kind of search, however, has to be done in the reading room if the birth place is unknown, since it will be necessary to consult several registers of the different military districts of the province.

The service for remote search of the State Archives of Alessandria cannot take in charge a search which does not give any precise information for finding the documents (name and surname, birth year, birth place, etc).
